Terms of use

Last updated: October 2026

1. Scope

These terms apply to the use of bewhere.app (the "service"), operated by the provider named in the legal notice). By creating an account you accept these terms. The service is currently provided free of charge.

2. Your account

You must provide a valid email address and keep your password confidential. You are responsible for activity under your account and for the invitation links you share. You can stop using the service at any time and ask us by email to delete your account.

3. Your content

You are responsible for the data you enter, upload, or import, including data generated with the AI import, which you should check before applying it. In particular, you must have a legal basis for storing other people's personal data (such as names, email addresses, and phone numbers) and inform those people as required by data protection law. You must not use the service for unlawful content or in a way that impairs its operation.

4. Availability, changes, and discontinuation

The service is provided "as is". There is no guarantee of uninterrupted availability or that particular features will remain available. We may change the service, and we may discontinue it. We will announce a discontinuation by email at least four weeks in advance so you can export your data, unless an immediate shutdown is necessary for legal or security reasons. Please export important event data regularly (e.g. via the JSON export).

We may block accounts that seriously or repeatedly violate these terms.

5. Liability

We are liable without limitation for intent and gross negligence, for injury to life, body, or health, and wherever liability is mandatory by law (e.g. under the German Product Liability Act). In all other cases, liability for slight negligence is excluded, as the service is provided free of charge. In the case of data loss, we are only liable for the effort that would have been needed to restore the data from regular exports made by you.

6. Data processing on behalf of organizers (Art. 28 GDPR)

When you, as an organizer, store personal data of other people in the service, you are the controller and we process that data on your behalf. This section forms the data processing agreement between you and us.

  • Subject matter and duration: hosting and processing of event planning data for as long as your account or the respective event exists.
  • Nature and purpose: storing, displaying, and sharing schedules with invited people; optionally, AI-assisted import when you use it.
  • Data and data subjects: names, contact details, notes, times, and locations of the people you add to your events (e.g. staff, helpers, guests).
  • Instructions: we process the data only as you instruct through your use of the service, unless required otherwise by law. We will inform you if we believe an instruction violates data protection law.
  • Confidentiality and security: only the operator has access to the data and is bound to confidentiality. Technical and organizational measures include encrypted connections (HTTPS), hashed passwords and invitation tokens, role-based access control, hosting in Germany, and a change history of event data.
  • Subprocessors: you authorize netcup GmbH, Karlsruhe, Germany (hosting) and, only when you use the AI import, OpenRouter, Inc. (USA) and the language model providers it routes to, under the EU Standard Contractual Clauses. We will inform you of intended changes; you may object to them.
  • Support: we assist you, as far as possible, with requests from data subjects, with data protection impact assessments, and with your obligations regarding security. We notify you without undue delay of any personal data breach affecting your data.
  • End of processing: after your account is closed, we delete the data, unless the law requires us to retain it. You can export it beforehand.
  • Verification: on request, we provide the information necessary to demonstrate compliance with these obligations.

7. Changes to these terms

We may update these terms, for example when features change. We will inform you of material changes by email. If you do not agree, you can stop using the service and have your account deleted.

8. Governing law

German law applies, excluding the UN Convention on Contracts for the International Sale of Goods. If you are a consumer, this does not deprive you of the protection of mandatory provisions of the law of the country in which you habitually reside. Should individual provisions be invalid, the remaining provisions remain unaffected.
